Invoicing basics
A good invoice makes the transaction clear: who is billing, who is paying, what was supplied, how tax is calculated, when payment is due, and how the client should pay.
Essential invoice fields
- Business name, address, contact details, and tax registration details when required.
- Client name, billing address, and delivery address when different.
- Invoice number, invoice date, due date, currency, and payment terms.
- Item descriptions, quantity, rate, item-wise tax rate, discount, shipping, subtotal, tax, and total.
- Notes, bank details, payment link, purchase order number, and any legal wording required locally.
Best practice
Use consistent invoice numbers, keep a copy after sending, and make sure estimates or quotes are clearly labelled so they are not confused with final tax invoices.
